Easy Steps in Backing Up Files : Back Up Tips

Easy Steps in Backing Up Files

Think you do not need to back up your files? Think again. Hardware failure, viruses, fire, theft, flood, and user error are all common reasons why businesses need their files recovered. Before this happens, put a plan in place to back up your information so you can restore it as soon as possible. This will reduce the amount of time it takes as well as prevent you from losing valuable data forever.

Choose a Back Up Type

There are two basic types of backing up your information, one is a cloud backup and the other is an external hard drive. Both have their pros and cons. The external hard drive can be stored in the same room as your PC, which can be hazardous if there is a fire or flood. Yet, it can be taken with you or stored in a locked storage box for safe keeping. It is portable, but you do need to plug it in to your computer every day to back up the files.

A cloud backup system works as long as you are online. It usually happens automatically and the information is stored in a cloud, so it is not physically in your office but stored on server far away. The first full back up on a cloud system can be somewhat slow, taking a few hours to completely back everything up. Furthermore, clouds are not completely immune to hackers, yet companies do everything they can do make their cloud systems secure.

Find the Right Program

A back up program will let you control when your files will be backed up and some will even let you choose certain files. Once the first back up is done, the subsequent backups can be set to certain intervals so the program only copies the programs that have been changed. This allows enough room to be kept open on the program so it is not clogged up with duplicate files. Files will also be easier to find and restore back on to your computer because of this as well.

Test the Back Up

Once you have everything set up, backed up, and ready to go for the future, it is time to test the backup program. Go to where your files were backed up, either on the cloud or external hard drive, and check to see if they are there. If they are there, then there is nothing else to do. If they are not, then you will need to troubleshoot the issue with the program. In addition, it is important to double check that the files are being backed up at the intervals you have set it at.

Conclusion

It is important to back up your files before anything detrimental happens to them. They can be backed up on either an external hard drive or cloud drive. Pick the interval that is right for your needs, so you can fully protect your data and files. Take the steps now so you do not have a large data loss in the future.
